All you need to know about Kids Get Active at Cockburn ARC.

Welcome to Kids Get Active (KGA)


KGA is a school holiday program offering a range of sport and recreation based activities for children aged 6 to 12 years.

As a condition of enrolment, please ensure you have read the following information entirely. By completing your booking, you are agreeing to our KGA Terms and Conditions.

This handbook contains  important information about the program, including details on what to pack, the structure of the day and further information on the KGA Terms and Conditions.

Our philosophy
To deliver a fun, safe, active and inclusive school holiday program to children. 

We're an enthusiastic team with a wealth of experience in providing children’s programs specialising in sport and physical activity. All staff hold First Aid qualifications, Working with Children Checks and Police Clearances.   
 
Program Hours and Itinerary
KGA is delivered Monday to Friday over school holiday periods (excluding public holidays). The program itinerary will vary from program to program therefore please refer to the Kids Get Active page for more information.

Our team
We're an enthusiastic team with a wealth of experience in providing children’s sport programs. Our staff work closely with both the child and parents/guardians to ensure there is the highest quality care and engaging experience for the children. All staff have current First Aid qualifications, Working with Childrens Check certifications and Police Clearances.    
Licence/Child Care Subsidy
We're an unlicensed venue under the Education and Care Regulatory Unit (ECRU) opens in a new window. This service is not an approved education and care service and does not require a provider and service approval, therefore the child-care subsidy is not available.
Parent/guardian responsibilties

To enable us to provide a high-quality service to families, parents/guardians are required to:

  • Enrol your child/ren via the member portal with all personal details updated. Please be sure to note any allergy and/or medical conditions.
  • Immediately return to KGA, if requested by centre staff.
  • Sign the child in and out on the attendance sheet each session. 
  • Notify staff in writing via email at play@cockburnarc.com.au if you approve another adult to sign your child in or out. You will also need to note the new sign out arrangement on the attendance sheet on the day.
  • Complete a Medical Disclosure Form via your booking confirmation email if your child has any allergies or medical conditions.
  • Keep your child at home if they are unwell, including cold/flu symptoms such as a runny nose, sore throat or a cough
  • Clearly mark all the child's belongings with their name, including nut-free packed lunch and snacks
 
Enrolment
You must enrol your child via the member portal before they can attend Kids Get Active. You will need to add each individual child via the portal if you have more than one child attending. Please be sure to note any allergy and/or medical information including the severity, symptoms and treatment plan.
 
Please ensure all information is up to date on your portal, such as address or phone numbers. If any information changes during the duration of the program, please let staff know. 
 
Bookings and payment

All bookings are easily made via our online portal using any device, anywhere, anytime. 

Bookings can be made up until 12 hours prior to the session wanting to be booked (8pm the night before).

*Please note: Parents should book in advance to avoid disappointment. Pending availability, same day bookings may be accomodated.

Payments must be made online upon booking otherwise the booking will not be secured and will be cancelled.
 

Sign in/sign out procedure
  • You must sign your child in and out on the attendance sheet
  • Sign in times are strictly between 8am - 8:30am at our Sports Stadium. Sign out times are strictly between 3:30 pm - 5 pm at the Creche. During pick up time, children will be offered a range of supervised free play activites.
  • Late fees of $30 will be applied for the first 30 minutes and then an additional 30 minutes thereafter.
  • The responsible adult signing the child in and out of the program must be over the age of 18 years, bring photo ID, and approved on the child’s profile.
  • Please notify staff in writing if you approve of another adult to sign your child in or out.
  • If you have arranged for one adult to sign-in and another to sign out, you will need to note the nominated sign-out person on the attendance sheet upon sign-in and they will be required to show ID on collection of the child.
  • Due to health and safety regulations, parents/guardians are encouraged to stay beyond the sign-in and out desk.

Please note: If there is an order by a court, magistrate or an officer of the Police Force that exempts a particular individual from having access and/or communication with the child, a copy of the order must be provided to the Children’s Programs Supervisor to protect the safety and care of their child.
What to pack

Please pack the following in a bag with all items clearly labelled with the child’s name:

  • Drink bottle, water only.
  • Lunch and snacks for scheduled breaks (no nut products).
  • Hat and sunscreen for outdoor activities.
  • Ensure your child is dressed suitable for sports activities with enclosed footwear

We have a No Hat, No Play policy at Kids Get Active. Please apply sunscreen prior to attendance. Due to potential allergies, permission is requested to apply sunscreed to your child. Alernatively, bring your own.

What NOT to pack

  • Food products containing nuts
  • Valuables and/or money
  • Toys
  • Mobile phones and electronic devices

Please note we are unable to take responsibility for lost items. Items that are found or handed in will be kept in lost property  at the ARC’s main reception. Please enquire at our main reception where the team will do their best to look for any lost property items for you. Please note that items cannot be kept longer than two weeks
 

Cancellations and late collection

Please view our Terms and Conditions for information relating to booking cancellations.
 
You can cancel or reschedule a booking up to 24 hours beforehand. Simply, locate your booking via the 'My Bookings' tab and select the minus '-' sign to the right of the booking. From here, you'll be able to cancel your booking. You will then receive a Kids Get Active credit to be used for future Kids Get Active bookings (please note, credits are not transferrable).

All bookings, modifications and cancellations must be made via your online portal under ‘bookings’.
 
You can cancel up to 24 hours before your booking via the online portal. Simply, locate your booking via the 'My Bookings' tab and select the minus '-' sign to the right of the booking. From here, you'll be able to cancel your booking.

Once you've done this, you'll receive a Kids Get Active credit equivalent to what you originally booked and paid for, which you can use for future bookings.

Please note, we're unable to provide refunds and can only provide a credit to your account. A medical certificate is required with 24 hours' notice to qualify for a credit.
 
In the case of late collection, the parent/guardian will be asked to come and collect the child via a call to their mobile and/or via the centre’s PA system. If the parent does not come or cannot be found, staff will then call the secondary contact person authorised on the enrolment form.

Collection times are strictly between 3:30 pm - 5 pm at the Creche. Late fees of $30 will be applied for the first 30 minutes and then an additional 30 minutes thereafter.
 
If you cannot make your booking on the day, please let us know immediately by contacting our team at 9411 3362 or play@cockburnarc.com.au during opening hours.

 

Immunisations

Immunisations

We recommend immunising your child against preventable diseases to minimise the risk of contracting an infection. Parents are advised that non immunised children will be excluded from care in the event of an infection outbreak. If there has been a confirmed case of such disease, notification will be clearly displayed on the front door.

Please note: Under Health Department direction, a child not immunised against measles (MMR vaccination at 12 months) must be excluded from a child care setting for two weeks once any case of measles is diagnosed. A case of measles must be notified to the local authority.

Allergies, medication and illness

Please inform us if your child has any allergies including the severity, symptoms, and the treatment plan to be followed by completing a Medical Disclosure Form located in your booking confirmation email

Should your child fall ill while in KGA, you will be contacted immediately.

KGA encourages the participation of children with a disability and ask that parents/guardians notify us of their access and care requirements. Please contact the Supervisor to discuss. Please note our staff are not required to be trained in handling disabilities outside of standard behavioural training.

KGA does not permit children with an infectious illness to attend as this jeopardises the health of other children, staff and other families. Such medical conditions requiring exclusion include:

  • measles
  • COVID - 19
  • mumps
  • chicken pox
  • diarrhoea
  • vomiting
  • head lice
  • conjunctivitis
  • ring worm/tinea
  • gastroenteritis
  • hand, foot and mouth

A medical clearance may be required before a child can return to KGA after an infectious illness. The decision to exclude or re-admit a child who has been ill will be at the discretion of management.
Incidents and guiding behaviours

In case of an emergency or incident involving your child/ren, the responsible parent/guardian will be contacted directly as soon as possible.

KGA provides a secure and welcoming environment that encourages children towards positive social interaction. We understand that a new environment may precipate unfamiliar behaviours. Our team will support by positively reinforcing desirable behaviour and redirecting inappropriate actions, All staff will model desirable behaviour and praise children who are exhibiting good behaviour. We will contact the parent/guardian to collect the child if:

  • our intervention strategies and techniques be unsuccessful
  • the child becomes excessively disruptive, unruly in a physical or verbal manner and does not adhere to staff directions
  • presents a risk to themselves, other children, staff and/or property.  

Behaviours that are not tolerated include: 
 
  • Repeated physical violence, such as hitting, biting, kicking, and throwing toys/equipment at others.  
  • Repeated verbal abuse such as name calling, swearing and offensive terms.  
  • Any behaviours that put the child, other children, or individuals at risk.  
  • Disobedience toward staff directions/instructions which pose a risk to safety
  • Damage to ARC facilities or property that is intentional and outside the realm of accidental.

Cockburn ARC reserves the right to refuse attendance to children who demonstrate intolerable behaviour and pose a risk to themselves, property and/or others.

Visitor access
No visitors are permitted to be involved in the Kids Get Active Holiday Program. The Cockburn ARC is a child-safe environment and prioritises minimal disruption – this program is a drop off/pick up service only.
Emergency procedures
In the event of an emergency evacuation, our staff will:
 
  • Follow our evacuation procedure and lead all children safely to the Cockburn ARC muster point.
  • Parents/guardians will be required to sign their child out at the centre’s muster point.

In the event of any accident or medical emergency where ambulance transport, medical or hospital treatment is required, the parent/guardian will be required to pay any associated expenses.
Lost property

Information privacy

The ARC is committed to protecting the privacy of personal information that is supplied to the centre while carrying out its stated functions. The information collected by The ARC is kept in accordance with the Information Privacy Act 2000 and the Health Records Act 2001. All the information collected is stored securely, remains confidential, and is only accessed by the appropriate staff members.
