Casual Booking Request

Open specific Booking Request Form within ARC Bookings Inbox

1. Once a request has been received in the ARC Bookings Inbox, look through the clients request and note any special requirements before looking at the Facility Booking Scheduler (visual)

2. Looking through availability of facility requested
3. Click on Facility Booking Scheduler (visual)
4. Select the date, court and scroll down to view times availableIf the request is over multiple days, ensure you have looked through each area and note availability.

5. Creating a new booking with a previous booking in the calendar year
  • Search for the customer/client using the Booking Search function within the booking screen. 
  • Amend the filtering sections to reflect the current calendar year (1 Jan – 31 Dec 2019)
  • Search by specific facility using the Centre Facilities tree
  • Search for Customer name
  • Select on the desired booking, double click.

6. To add the new booking within this screen, right click Add New Booking Line
7. Narrow down your search field using the Centre Facilities tree
  • Add in filters for dates and times required
  • Click apply
  • Select on the time frame you want to add to the booking by clicking each individual box, click Book Selected 
8. creating a new booking without a previous booking in the calendar year
9. Left click each requested time period so the cells are highlighted in blue, right click Create Booking

10. Search customer account  once in the Facility Booking screen by clicking on the … button
  • If found using the search function, double click on their name to select and allocated them to the new booking screen.

11. If there is no customer found, create a new customer by selecting New. Complete all known information. Where information is not provided, add in the following as default:
  • Date of Birth: 01/01/1900
  • Address: Completed as the ARC (if known, attach their correct address)
  • Emergency contact: Facility Hirer in Name and 0 in mobile number
12.Once completed, click Save

13. Once back in the Facility Booking screen
  • Click Confirmed
  • Add in Booking Name, the following format to be used only:
  • SPORT – Specific Event Name (if known)
  • Add in any special requests within the Instructions field
  • Click Apply Changes.
