This information will enable us to direct them externally in the first instance without spending time writing emails to arcbookings for them to then be turned away as we are unable to cater to the enquiry.
Basically we cannot provide meeting rooms for more than 25 people at any time and if the CSO’s get any enquiries above this number they need to just immediately refer them to Fremantle Football Club on
fremantlefc@fremantlefc.com.au or (08) 9433 7192.
With regards to the ‘non-meeting rooms’ we have at ARC, any one wanting to use these rooms would either need to hire one of our instructors to use them (those enquiries can then go directly to Terri) or they would need to be for an activity would not risk demage to the floors (aka Taewondo; dance rehearsals etc). Anything that the CSOs think may have the potential risk for this to occur or sounds like they are looking for hard equipment to be brought into the rooms - I am happy for the CSO to say that we just don’t have any rooms that would be suitable and refer them to the City’s website. This lists all the other facilities that might be more suitable around the City.
We have consistent hirers that are invoiced for their bookings. This is arranged prior to them booking in.
They are invoiced once a month, therefore their PGM profile may show any outstanding balance, however once payment has gone through it will balance out.
Invoiced payments are rarely taken at reception, however they are able to if they request it. Please see a CSS is unsure of how to process the payment.
The aquatic attendance slip is stored in the POS 1 reception filing cabinent. We need to record the attendance of the number of particilants and what activity they will be using in the centre. These slips are to be completed in full and handed to Marg.
If the customer would like to make a change from the original booking request they will need to contact the booking officer for that department.
